Pengurusan Masa



Kita selalu terdengar tentang kesuntukan masa untuk menyelesaikan sesuatu tanggungjawab yang diamanahkan oleh jabatan kepada kita walaupun yang cukup telah diberikan untuk berbuat demikian. Kita juga selalu terdengar tentang mesyuarat atau perbincangan yang berlangsung berjela-jela dan akhirnya tidak ada kata sepakat atau keputusan diperolehi dari msyuarat atau perbincangan tadi. Banyak kali kita merasakan dan terbukti benar bahawa kita datang bertugas tetapi tidak banyak kerja dan perkara yang telah kita selesaikan, kata orang unproductive. Seandainya kita menghadapi senario seperti yang digambarkan di atas, ini bermakna kita sedang menghadapi masalah bagaimana untuk mengurus masa di tempat kerja kita.

Untuk mengatasi perkara ini beberapa cadangan telah dikemukakan oleh pakar dalam managemen di mana usaha untuk mengoptimumkan penggunaan masa di pejabat merupakan perkara wajib dan tanggungjawab bersama dari peringkat pengurusan tertinggi hinggalah kepada pekerja bawahan.

Antara perkara yang harus diberikan perhatian ialah :

• Kurangkan pembaziran

• Lebih bersedia ketika menghadiri mesyuarat atau perbincangan

• Jangan menerima tugas yang berlebihan.

• Selalu memberi perhatian penuh kepada tugas atau projek yang dilakukan.

• Pelan tugas harian secara efisien.

• Pelan tugas mingguan atau bulanan secara lebih efisien.

• Dan banyak lagi …


Oleh kerana Pengurusan Masa merupakan suatu proses maka ianya harus dimelalui peringkat tertentu seperti perancangan yang teliti, pengawasan dan tinjauan secara berterusan.

Sebagai asas kepada pengurusan masa yang cekap dan berkesan disini digariskan beberapa jawapan kepada persoalan asas Pengurusan Masa.


Membuang Masa - masa kita selalu terbuang dan berlalu begitu sahaja dengan tindakan silap kita sendiri seperti menelefon yang berjela-jela, kawan yang singgah ketika kita sedang bertugas dan bersembang dengan perkara yang tiada kaitan dengan tugas. Untuk mengurus masa secara berkesan kita perlu mengukur kerja yang kita buat dengan masa yang diperlukan seperti mana yang kita rancangkan sebelum ini.


Membuat kerja orang lain – kita seharusnya menyiapkan kerja kita sendiri tanpa bantuan orang lain. Lebih baik kita memberi latihan kepada pekerja lain, daripada kita gunakan masa kita untuk menyelesaikan tugasnya. Dan buat pengawasan selepas memberi latihan kerana ini akan menjimatkan masa berbanding dengan kita yang melakukan kerja dia ! Sekiranya kita terpaksa membuat kerja orang lain, cara yang lebih baik ialah kita perlu menyemak masa yang kita perlukan untuk menyelesaikan kerja kita terlebih dahulu dan sebayak mana pula masa yang kita akan gunakan untuk membuat kerja orang lain itu.


Perjanjian atau Pertemuan – Mulakan kaedah pengawalan masa dengan lebih sitematik. Gunakan buku untuk catatkan semua perjanjian/pertemuan dan sebagainya.


Penskedulan – sekiranya kita bercadang untuk mengadakan sebarang projek jangka pendek atau jangka panjang, masa untuk setiap aktiviti seharusnya diskedulkan dengan teliti demi untuk mencapai sasaran projek tanpa membazir masa.


Pengawalan staf – ia berkait rapat dengan penskedualan masa di atas. Kerana setiap penskedulan ia berkait rapat dengan masa yang perlu di ambil atau digunakan dalam menyelesaikan sesuatu tugas. Dan pengawalan ini juga tugas berterusan dan harus ditinjau dari semasa ke semasa.

No matter how you approach time management, there will always be some limitations. Whoever you are, there are only twenty four given hours in a day. You need to sleep, eat, bathe and perform any number of other activities. There will always be more things that you would like to do than there is time to do them. When prioritizing, you must remember to place sufficient value on some of the things that give life a greater meaning. This may, for example, include worship or meditation as a critical element. These real priorities are often inadvertently overlooked by those who are focussed solely with maintaining their business or professional lives--often with a great negative consequences.

Second, you must learn how to differentiate the essential from the important. Every day, you must handle critical tasks (in terms of your work). These projects may be the difference between success and failure or a significant decline. Meeting tough deadlines, working to grow your business, customer service and other tasks may fall into this category.

Third, you must be able to push the urgent items towards the top. Urgent items are those with an immediate or soon-to-arrive deadline. These tasks will not always measure up in importance to some of the critical jobs, but their urgency gives them a higher level of priority. Missed deadlines can have a remarkably deleterious impact on a business even when the matter in question is relatively small.

As you approach your priorities list, keep the above three observations in mind. Remember that setting aside some time for pursuits other than business is important. Understanding the difference between a critical situation and a somewhat important one can also help. Finally, recognizing your need to push through time-sensitive projects as quickly as possibly can reduce panic situations.

Your decision as to which "To-Do’s" should come first will probably be the most important part of managing your time. These decisions can be difficult and frustrating but are the key to time management success.

Effective meeting basics



An effective meeting is a business meeting that serves certain desired purposes in an optimal way. While meetings are among the core tools for making things happen in any organizations, they often consume too much time and resources. The two natural benefits of more effective meetings are:
Better desired outcomes for you and your organization, including higher quality and quantity of the results from your projects, better decisions, motivation of the people involved, and so on.


Lower costs in time, energy, and other resources for you and your people, leaving more of those resources to other mission critical tasks.


To ensure higher effectiveness for your corporate or other business meetings you will need to reevaluate and possibly improve your actions in the following two main areas:
Meeting planning and preparation, covering such critical elements as clarifying the desired outcomes in an agenda, communicating those objectives to the people involved, inviting the right people, allowing people to prepare, choosing the proper time and place, and arranging the necessary technical support.

Finally, if you want to improve just one thing this time, then start from being more selective. Before another meeting is called, ask yourself wether this meeting is worth everyone's time. Essential Goal Setting Guidelines



An effective expression of the important goal setting guidelines is that you should set SMART goals. What the SMART goal setting guidelines actually mean is that your goals should be

Specific
Measurable
Attainable
Rewarding
Timely



Neglect one of those guidelines and the odds that your goals are achieved drop many times. Why?

The key force that either drives you towards your goals or holds you back is your subconscious mind. Those goal setting guidelines are the necessary criteria for your subconscious mind to accept your goals and start working for you. Otherwise it will work hard to keep you in the comfort zone of your present conditions and old habits.




Specific
With a specific goal you can clearly see what it is you want to achieve, and you have specific standards for that achievement. In making your goals specific it is important that you actually write them, which is crucial in all goal setting guidelines.


The more specific is your goal, the more realistic is your success, and the shorter is path to it.

When you work on making your goal specific, you program your subconscious mind to work for you. Then, your feelings and thoughts will lead you to your goal instead of pointing at the obstacles. To make your goals specific you also need to work out the other components of SMART goal setting guidelines below.

Measureable
For a goal to be measurable you need a way to measure the progress and some specific criteria that will tell you when you can stop and the goal is achieved. Feeling the progress is very important for you to stay motivated and enjoy the process of achieving the goal.

Attainable
An attainable goal is a goal for which you see a realistic path to achievement, and reasonable odds that you get there. This does not mean that the lower you aim the more likely you reach success. It is well known that goals that work best have a challenge in them. They are chosen as ambitious as possible, but still reachable. Then they will give you more motivation and sense of achievement.


Rewarding
A goal is rewarding when you have clear reasons why you want to reach that goal. This is one more place where it is important that the goal is really yours. Have your specific reasons and expected reward in writing. If possible, even with some visual pictures.

Imagine how you are going to feel when the goal is finally reached. This will ensure that the goal is really worth achieving. Then, every time you get stuck and don't feel motivated enough, read your reasons and look at the pictures. This is a known and very powerful practical technique of how to get through difficult moments and not quit.

Timely
The fifth requirement of the SMART goal setting guidelines is that your goal should have a specific time limit. This is also very important for your subconscious mind. Besides, time is the price you pay for the reward from achieving a goal. Setting the deadline will protect you from paying higher price than the goal is worth. This is also your protection from procrastination and perfectionism.

Are you at risk of burnout syndrome?


Burnout is a problem that many people either face or come very close to at some point of their life or career. If your job or some other commitment keeps you completely drained physically or emotionally, and if this situation goes on for years, months, or maybe just weeks, you may finally reach the breaking point and fall a victim of burn out syndrome.


Burnout is a chronic condition that happens when your body or mind can no longer cope with overwhelmingly high demands. You are trapped in a state of emotional exhaustion, and it is hard to get out of that state. You stop caring about what you do, even though you may feel guilty about that fact. Even if you still continue working, it seems to be hard to make progress. You hardly accomplish anything significant, just go through the motions.

Burning out is not just stress, it is much more than that. There are people who may experience high stress at their job time after time. But job stress does not necessarily mean that they are at risk of job burnout.

Certain categories of people and professions are particularly susceptible to job burnout. Most often these are people who are highly committed and motivated, who have high standards and idealistic dedication to their jobs. This condition more commonly occurs for such professions as entrepreneurs, managers (in business, education, health care, and many other field), teachers and social workers, athletes.

There are many different situations that could lead to burning out. Common burnout causes include:
An overwhelming workload. Could be due to insufficient time management skills, especially lack of planning, prioritizing, or delegation skills.
Hard work with no clear goals. You work hard and hard, but no matter how long you keep at it, you cannot see any progress. But how could you see that you have got closer if you don't know your destination?
Powerlessness to change something important to you. Something that you are very much emotionally attached too, but that is at the same time beyond your control.
Forcing yourself to make the impossible happen. For example, solving problems without having the necessary resources.
A conflict between your personal values and the values of the company your working for. You don't believe in or disagree with what your are doing, but you feel the circumstances force you to keep doing it anyway.
Hitting the invisible ceiling. No matter how good or competent you become, there is hardly any chance of recognition or promotional opportunities.


For all of those burnout causes what is important is not as much the external factors that fall on you, but how you interpret them, what you say to yourself, and what actions you take in response.

Finally, it is important to understand the risks of burnout in your personal or job situations. Once you are its victim, it may not be easy to get things back on track. That condition does not go away in a day. You may not be able to recover by yourself, and you may need to have drastic changes in your attitudes and life style. You are much better off preventing it now than putting your life back together later.

Being aware of commonly observed burnout symptoms could help you notice the problem at an earlier stage, hopefully before it gets really bad.

Leadership vs. Management: What are the Characteristics of a Leader and a Manager



Leadership and management are terms that are often used interchangeably in the business world to depict someone who manages a team of people. In reality leadership vs. management have very different meanings. To be a great manager you must understand what it takes to also be a great leader.
Leadership vs. Management: Characteristics of a Manager

Let's begin by breaking down some key characteristics of a manager. This role in a typical company or organization will reflect a person who's primary focus is on managing a team of people and their activities. The role can differ by scope, types of roles, and can sometimes even be focused on efforts outside of true people management, for example project and process managers.

One of the key characteristics of a manager is very basic in the sense that they are someone who was given their authority by the nature of their role. They ensure work gets done, focus on day to day tasks, and manage the activities of others. Managers focus on tactical activities and often times have a more directive and controlling approach. Being tactical is not altogether a negative approach as this is a skill set that is greatly needed in business especially in the fast paced environments most of us work and live in. Being able to organize people to accomplish tasks can be a great asset.

In many organizations, managers are often times the previous high performers at the employee level. Does this mean they are ready for the challenge of people management? In many cases, the answer is no. To demonstate solid characteristics of a manager, these previous high performers must be trained. While all types of people can manage, we will now examine what makes a manager a solid leader.

Leader

Now if we look at the characteristics of a leader. When you hear the term, leader, a number of images may pop into your head. One phrase that may come to mind is "he or she is a born leader". This phrase does depict a great deal about the difference in managers and leaders as there are a great many distinctions. To demonstate characteristics of a leader you must be more strategically focused and rather than directing employees through tasks, they inspire and motivate employees to drive themselves. Leaders are adapt in the art of Emotional Intelligence and apply it in a way that attains the best work out of their people.

While a manager receives their authority based on their role, a leader's authority is innate in their approach. Good leadership skills are difficult to learn because they are far more behavioral in nature than those skills needed for management. Think of how different it is to teach someone to manage a particular task with a handbook on how to perform it versus trying to teach someone to effectively negotiate a sale. One, is step by step while the other employs a number of soft skills that, if unfamiliar, can be very difficult to master. This is one reason that building characteristics of a leader can be so challenging for new managers.

Leaders are also very focused on change. Recognizing that continual improvement can be achieved in their people and their activities can be a great step towards continued success. Being able to lead their teams through change, rather than manage them through it has infinite rewards.

A commonly coined phrase tells us that leadership is doing the right thing and management is doing things right. This illustrates how the two skill sets need to work together. In order to be fully rounded, you must have the ability to manage the day to day tasks and deliver results, while seeing the opportunity for change and the big picture. Demonstrating good leadership skills without the management skills to support it, will leave you with an inability to operationalize your visions. Likewise, being a good manager without good leadership skills will cause continual challenges in motivating your team and producing the results you are trying to manage to. Being able to blend these two styles is truly a unique skill set. Keep in mind there are an abundance of managers in the world but very few truly embody the characteristics of a leader.

Salam Kembali.

Minggu lepas akak ke Port Dickson menjalani satu kursus yang berkaitan dengan pengurusan pentadbiran bagi bidang akak. Perjalanan dengan bas memakan masa selama 1 1/2 jam dan tiba di Mayangsari Resort Port Dickson sudah hampir 5 petang. Mayangsari Resort ni quiet ok jugak. Kami ditempatkan seramai 4 orang untuk 1 bilik apartment.Luas dan selesa.

INI MAKAN TENGAHARI AKAK.

Dari resort boleh melihat dengan jelas pantai yang landai dan cantik dan pemandangannya yang menarik. Tapi akak and geng tak sempat bermain di pantai tersebut. Dalam kursus kali ini, akak antara yang tertua.Kebanyakannya masih fresh dalam bidang pengurusan. Jom layan hasil tembakan akak.

Mesyuarat Agong PIBG berlangsung pada 28.3.2009 untuk mengambil kata putus tentang bayaran tambahan yang dikenakan ke atas setiap pelajar.Sebelum mesyuarat itu dijalankan, penyampaian hadiah disampaikan kepada pelajar2 yang cemerlang akademik bgi setiap tingktan dan pelajar yang cemerlang dalam PMR dan SPM.
